Why Professional Management?
At ALLEN Realtors®, we like to think that we take the hassle out of managing investment property. Managing a rental property is a demanding endeavor, requiring continuous attention by a trained professional with resourcefulness, practical knowledge and informed judgment.
ALLEN Realtors® professionally manages more than 500 properties throughout the greater Tacoma-Pierce County area, representing property owners in 21 states and numerous foreign countries. Most of the properties we manage are single-family homes, but we also manage duplexes, tri-plexes and other multi-family properties.
If you are not currently using the services of a professional property management company, or if you are dissatisfied with the present management services provided by your current representative, please consider the following:

Types of Management Agreements
LEASE-UP AGREEMENT - Owners wishing to manage their property themselves use this agreement. Services per this agreement include advertising, showing property to prospective tenants, screening of tenants and reference checks, preparation and execution of leases, collection of initial rent, security deposit and non-refundable pet fee (if applicable), a move-in inspection, and a move-in condition report. The management is delivered back to the owner for the second month of the lease.
LONG-TERM RENTAL AGREEMENT - For owners who select ALLEN Realtors® to manage their properties on a full-time basis, we offer services to include advertising, showings of property to prospective tenants, screening of tenants and reference checks, preparation and execution of leases, collection of rent, security deposit and non-refundable pet fee if applicable, periodic inspection of property, monthly accounting and income disbursement, supervision and execution of maintenance needs.
Under Both Agreements
- We are always the exclusive agents for the owners;
- The properties are rented based on current market rates and condition of rental property. Sometimes we will recommend an owner to accept a lease at a lower rate to insure a quality tenant. However, all prices will be discussed with the owner prior to putting the property up for rent;
- Owners have the option of designating their property as “non-smoking” or “no pets”;
- Properties must be clean and ready for immediate occupancy. If you require assistance, we will be happy to help you in getting your property ready to rent;
- If your property is in a covenant-controlled neighborhood and/or has restrictions for renting in its Declaration and By-Laws or Rules and Regulations, you will need to provide us a copy of the necessary documents;
- Tenants pay all utilities including cable, telephone and yard care, unless agreed upon otherwise by the owners in advance and in writing;
- Our lease terms are generally for 12 months. However, the term of the lease can be negotiated depending on the owner’s needs. Sometimes (depending on the time of the year) shorter leases may be more effective for obtaining a quality tenant or having the property open for re-renting at a better time;
- All properties must be maintained in good condition. If we deem a rental falls below minimum safety or health standards, the owner will be contacted for necessary remedies. Failure to comply with the requested upgrades could result in termination of the management contract;
- Federal and State Regulations prohibit us to discriminate anyone on the basis of race, creed, color, religion, national origin, ancestry, handicap (both physical and mental), marital status and familial status.

Professional Management
Services That We Provide
ADVERTISING & MARKETING -. The property will be advertised on the ALLEN Realtors® and other rental websites, through the McChord AFB Housing Office, and The News Tribune. We’ll also post a professional “For Rent” sign on your property.
SHOWINGS - Though our office hours are 8:30 am to 5:30 pm Monday through Friday, our property managers are available to show your property to the prospective tenants seven days a week.
SCREENINGS - Each applicant older than 18 is required to complete an application form. We qualify potential tenants based on the following information:
- Credit History - A good credit rating is required, but each applicant is evaluated depending upon his or her individual circumstances.
- Work History and Employer References - Applicants must be employed with their current employer for six months or longer or have verifiable previous employment for at least six months. If an applicant is self-employed we will request bank statements and tax returns to verify income.
- Rental History and Landlord References – A minimum of two years of rental history and good rental references from the previous landlords are required.
- Criminal and Civil Records - We will not rent to any one with a criminal record.
PREPARATION & EXECUTION OF LEASES - We will prepare a lease and all related documents on your behalf, and will also perform a move-in walk through and complete a formal move-in condition report.
MAINTENANCE & VENDOR RELATIONS - We will coordinate, screen and schedule all maintenance calls and repairs as authorized by you in a prompt manner.
PAYMENT OF RECURRING & OTHER EXPENSES - We will process the owner’s mortgage payment, homeowner’s association dues (if applicable), insurance, taxes or any other recurring and operating expenses. Copies of all these disbursements will be included with your monthly property financial statement.
PREPARATION OF YEAR-END STATEMENTS – An IRS Form 1099 form identifying gross miscellaneous income will be forwarded to the owner and IRS in January for the previous year.
EVICTIONS - We will coordinate and supervise the process of timely evicting tenants in cases of delinquency or noncompliance of other lease terms.
TENANT MOVE-OUTS - We will negotiate lease renewals, but if the tenant chooses to move out we will deliver to them a package outlining the move-out procedures. A physical inspection of the property will be done and a move-out condition report will be completed. We will also process the tenant’s security deposit as required by the Residential Landlord Tenant Law in the State of Washington.
CONSTANT COMMUNICATION - All of our property managers carry a cell phone and are accessible virtually at any time. In addition we are Internet accessible and e-mails are downloaded several times a day. There is a manager on call 24 hours a day for after-hour emergencies.
