Association Services That ALLEN Property Managers Provide

Collection of All Monthly and/or Special Assessments - Our computerized accounting system is fully capable of handling any monthly billings, special assessments, and late fees to generating all custom reports. All the funds collected are maintained in an account assigned only to your association.
Maintenance and Vendor Relations - We will coordinate, screen and schedule all maintenance calls as authorized by the Board of Directors. We will request bids, hire contractors and inspect their work on your behalf. We don't add any extra charge to the vendor’s bills and we do not receive any rebates from the vendors.
Payment of Recurring Expenses - We will process all monthly billings (utilities, insurance, taxes, etc.) and any other common area expenses. We will provide you with monthly statements itemizing all receipts and expenses.
Preparation of Annual Budgets - We will help the Board prepare an annual budget, usually 60 days prior to the end of the association’s fiscal year.
Processing of Liens for Uncollected Dues - We will help facilitate processing liens as required by the association’s by-laws with the attorney hired by the association.
Preparation of Annual Reports - We will provide two copies (one for the Board and one for the HOA/COA's CPA) of the year-end statements by January 30 to include the 1099s and year’s activity in summary and detail.
Proxies, Annual Notices and Minutes - We will notify the members of the association regarding the meeting dates, mail minutes and mail proxies to absentee owners.
Welcome Packets - We will mail welcome packets to new homeowners.
Alternate Addresses - We will maintain addresses for the owners who are renting their properties and mail to them and their tenant any materials relating to your association.
Preparation of Resale Certificates - We will prepare resale certificates for the homeowners in your association who are in the process of selling or refinancing their properties.State Forms - We will insure that all homeowner association matters are handled in compliance with frequently changing government regulations. We will file any necessary forms required by the State of Washington to maintain your non-profit organization.
Communication - The nature of our work is such that we may not be available to take your calls in the office all the time even during our normal workings hours, but all of our managers carry cell phones and pagers. There is also a person on call 24 hours a day for after-hour emergencies
